A tutoring business has roughly six hours of admin behind every ten hours of teaching, and almost all of that admin is automatable. The teaching mostly is not, and the reason is not sentimentality about human connection. It is that your records are largely about children, which changes what you are allowed to put into a third-party tool and what you must be able to explain to a parent.

So the useful question is not which AI tools are best. It is which side of that line each task sits on.

The single highest-return item is the reschedule loop. Tutoring runs on a weekly slot that gets moved constantly, and every move is three messages. The teaching, where it partly works

Lesson preparation is genuinely improved by AI. Assessment is where it gets dangerous.

Works well: generating practice questions at a stated difficulty, producing three explanations of the same concept in different framings, building a worksheet around a specific misconception, drafting a scheme of work from a syllabus, and creating varied examples so a student who has memorised one problem meets a different one.

Works badly: marking anything that matters, judging whether a student has understood something, and writing progress reports from raw scores. Marking looks like a perfect automation candidate and is not, because the failure mode is a confidently wrong judgement about a child's ability that a parent then reads. This is the part that makes tutoring different from most small businesses, and it is worth being precise rather than nervous.

Three practical rules:

  1. Names and school details are the first things to strip. Most tasks work identically with "the student" in place of a name. If a tool never receives identifying details, most of the difficult questions never arise.

  3. Be able to answer the parent question in one sentence. "We use AI to draft admin emails and practice questions, we do not put your child's name or work into it, and a person reads everything before it reaches you." Under the EU AI Act transparency rules, which the Commission began enforcing on 2 August 2026, interactive AI systems have to tell users they are dealing with AI rather than a person. A sensible first month

Rather than adopting five tools, sequence it.

  • Week one: enquiry responses only. Draft answers to your twelve most common questions, keep them in a document, and use AI to adapt one per enquiry. No student data involved at all.

  • Week two: add the scheduling and reminder loop.

  • Week three: add session notes. Dictate two minutes after each session, let AI structure it into a consistent format, and correct it. After twenty sessions you have something genuinely useful for parent reports.

  • Week four: add lesson material generation, with you reviewing every worksheet before it is used.

Notice what is not on that list: anything that touches assessment or anything where a parent reads AI output without a human in between.

What it should cost

A one-person tutoring business does not need an expensive stack. A general assistant subscription plus whatever scheduling tool you already pay for covers most of the above. Should I tell parents I use AI?

Yes, and it is easier than most tutors expect. Parents object to their child being taught by a machine, not to your invoices being drafted faster. Being specific about which tasks defuses the concern rather than raising it.
